How You Will Add Value:

  • Schedules and organizes complete activities such as meetings, travel, conferences, and department activities for the organization.
  • Manages the filing system for the CEO and Administration department. .
  • Organizes and prioritizes large volumes of information and calls.
  • Handles all postal service transactions including pick-up and drop-off of mail at the post office. Responds to regularly occurring requests for information.
  • Manages calls for the CEO and department. Takes messages or field/answers all routine and non-routine questions.
  • Relieves CEO of routine matters and preserves the confidential nature of items of which she/he has knowledge.
  • Sends monthly financial information reports and other monthly or periodic reports as assigned by Administration.
  • Maintains Medical Staff credentials and related items per regulatory requirements.
  • Sends out notices to Medical Staff and department managers Records minutes of committees as assigned.
  • Maintains master key cabinet for all keys in the facility and assigns keys to appropriate personnel.
  • Attends all Hospital Authority Board of Directors meetings and Medical Executive staff meetings and records minutes of each.
  • Queries the OIG (Office of Inspector General) monthly for all staff and employees.
  • Makes deposits as needed for the Foundation.
  • Greets, receives, and fields all visitors who present to Administration
  • Provides notary public services for the Hospital
  • Completes annual immigration reporting requirements.
  • Creates ID badges for employees
  • Handles contract management and reporting requirements
  • Facilitates complaints/grievances process and record keeping
  • Completes annual hospital insurance renewals and files related claims


  • Must have High School diploma or GED equivalent.
  • Three to five years of administrative assistant experience
